Position: Program Officer
Location: Vadodara, Gujarat
Reporting To: Secretary BMA

Role Overview:
The Program Officer will be responsible for organizing and coordinating various programs, events, and activities of BMA. The role includes liaising with trainers, members, vendors, and sponsors, maintaining records, assisting in administrative functions, and supporting marketing efforts. The Program Officer will work closely with the team and Office Bearers to ensure the smooth execution of BMA’s initiatives.

Key Responsibilities:
  1. 1.Program & Event Management
  • Assist in planning, organizing, and executing workshops, seminars, training programs, and conferences.
  • Maintain and update the database of members, faculties, resource persons, vendors, and sponsors.
  • Coordinate with trainers, facilitators, and participants for seamless event execution.
  • Prepare reports on conducted events and propose future initiatives.
  • Ensure proper arrangements for events, including logistics, venue setup, and promotional materials.
  1. 2. Communication & Marketing Support
  • Promote BMA’s programs via electronic media, social media, email, and phone calls.
  • Liaise with corporate partners, local management associations (LMA), and AIMA to enhance program reach.
  • Assist in website and social media management, ensuring timely updates on events and initiatives.
  • Work on branding, sponsorship proposals, and marketing collateral development.
  1. 3. Administrative & Operational Support
  • Support the Secretariat Team in all administrative tasks related to BMA’s operations.
  • Assist in managing committee meetings, election procedures, and documentation.
  • Coordinate with government bodies such as the Charity Commissioner and maintain legal records.
  • Handle membership renewals, correspondence, and follow-ups.
  1. 4. Support to BMA Subcommittees
  • Assist in executing activities of various subcommittees including:
    • FET Committee
    • Women’s Development Committee
    • AAOYM Committee
    • Membership Promotion Committee
    • AMC Committee
  1. 5. HR & Office Coordination
  • Monitor attendance and leave records of staff.
  • Assist in recruitment, induction, and training of new employees.
  • Ensure proper documentation and record-keeping for HR and office administration.

Key Skills & Qualifications:
  • Graduate/Postgraduate in Management, Commerce, or a related field.
  • 1-3 years of experience in event coordination, administration, or program management.
  • Strong communication and interpersonal skills to engage with stakeholders.
  • Proficiency in MS Office (Excel, Word, PowerPoint), Social Media, and basic digital tools.
  • Experience in marketing and outreach for events and training programs.
  • Ability to work independently, multi-task, and handle responsibilities efficiently.

Work Environment & Expectations:
  • Full-time role with a six-day working week.
  • May require travel within Vadodara and nearby areas for official engagements.
  • Expected to maintain professionalism and integrity in all interactions.
